How to Improve Wayfinding Accessibility in Buildings
A visitor arrives at a health precinct for an appointment, finds the entry, then confronts a wall of similar corridors, low-contrast signs and unclear reception directions. For many people, the barrier is not the building entrance. It is the information needed to understand where to go next.
Knowing how to improve wayfinding accessibility means treating orientation as a core part of access, not a decorative signage exercise completed near handover. Clear wayfinding supports people with disability, older people, children, people experiencing fatigue or stress, visitors unfamiliar with a site, and staff moving quickly through complex facilities. It also reduces missed appointments, enquiries at reception, unsafe circulation and operational friction.
For project teams, the objective is practical: create an environment people can understand independently, with information available in more than one form and at the point it is needed.
Start with the journey, not the sign schedule
Wayfinding begins before a person enters the building. Consider the full journey from the street, car park, public transport stop or passenger set-down area through to the intended destination. Each transition can introduce uncertainty: locating an accessible entry, identifying a lift, finding an accessible sanitary facility, understanding security procedures or returning to the exit.
A sign schedule is necessary, but it cannot resolve a confusing plan. The building layout, visibility of destinations, circulation routes, lighting, finishes and landmarks all determine whether a person can orient themselves. A well-designed directory in the wrong location will not compensate for a concealed lift lobby or a corridor network with no visual hierarchy.
Early design reviews should map common user journeys, including first-time visitors and people who may have limited vision, hearing, mobility, cognition or English proficiency. Test the route in both directions. Leaving a venue can be just as difficult as finding a destination, particularly after hours when doors, reception points and lifts operate differently.
Make the physical environment easier to read
The strongest wayfinding systems use the architecture itself. Entrances should be identifiable from the approach, major routes should be legible, and decision points should be visible before a person reaches them. Where the layout is inherently complex, introduce deliberate orientation cues rather than relying on more text.
Colour can help distinguish floors, zones or service areas, but colour should never be the only differentiator. People with colour vision deficiency, low vision or temporary visual limitations may not perceive the intended distinction. Pair colour with clear naming, symbols, numbering, changes in material or recognisable environmental features.
Lighting deserves equal attention. Glare on glazed signs, dark thresholds, reflective finishes and sudden changes in illumination can obscure information and affect depth perception. A design that appears clear in a rendered image may perform poorly under actual lighting conditions, particularly for a person approaching from a bright external area.
Landmarks are particularly valuable in large public buildings, education campuses, aged care settings and transport environments. They may be an identifiable artwork, a seating zone, a planted courtyard or a distinctive wall treatment. The point is not visual novelty. It is to provide a consistent reference point that helps users confirm where they are.
Design signage for real decision points
Accessible signage must be positioned where a user needs to make a choice, not simply where there is available wall space. Typical decision points include site entry, building entry, reception, lift lobbies, corridor intersections, changes of level and destinations with restricted access.
Information should follow a logical hierarchy. At an arrival point, people need an overview of the site or building. At a junction, they need directional information. At a door, they need confirmation that they have arrived. Combining all information into one dense sign often makes none of it useful.
Text must be readable at the intended viewing distance, with sufficient contrast between lettering and its background. Typefaces, character spacing, mounting height, viewing angle and illumination all affect legibility. Avoid relying on glossy finishes, stylised fonts, tightly packed content or jargon that visitors do not understand.
Pictograms can support comprehension, especially where they are familiar and consistently applied. However, symbols should reinforce rather than replace clear written information when a destination is specific or unfamiliar. A symbol for a lift may be useful; it will not explain which lift serves a particular tenancy, clinic or accessible route.
Tactile and braille signs are an essential component in relevant locations, particularly for identifying rooms, sanitary facilities, exits and other key spaces. Their placement and installation details matter. A tactile sign mounted behind an open door, above an obstruction or outside the expected reach zone may technically exist but provide little practical value.
Provide more than one way to access information
People interpret environments differently. A person with low vision may use tactile information, contrast and a mobile device. A person who is Deaf or hard of hearing may depend on visual displays and clear sightlines. Someone with cognitive disability may benefit most from plain language, predictable naming and repeated visual cues.
This is why accessible wayfinding should be multi-modal. Physical signs remain fundamental, but they can be supported by audible information, tactile maps, staff assistance, printed visitor guides and accessible digital content. The right combination depends on the building type, user group, operational model and level of complexity.
Digital tools should be assessed critically. QR codes can be useful for supplementary maps or current tenant information, but they should not be the sole means of finding a destination. They assume a person has a compatible mobile, connectivity, adequate digital confidence and the ability to use a screen. They can also create a barrier for visitors who need immediate information on arrival.
Where digital directories or kiosks are used, consider reach ranges, screen glare, time-out settings, screen-reader compatibility, plain-language navigation and whether assistance is available. A sophisticated interface is not necessarily an accessible one.
Coordinate wayfinding with access and safety requirements
Wayfinding cannot be designed in isolation from circulation, egress, security and building compliance. Accessible paths of travel need to be identifiable and kept clear. Signage must not create hazards through projection, poor placement or conflict with door operation. Emergency information must be understandable under stressful conditions and work alongside everyday orientation systems.
Australian projects may need to address requirements under the National Construction Code, relevant Australian Standards, planning conditions, tenancy obligations and the Disability Discrimination Act framework. The applicable requirements will vary by building classification, scope of works and project context. Compliance is a necessary baseline, but it does not automatically produce an intuitive environment.
Heritage buildings and constrained retrofits require particular care. There may be limited wall space, protected fabric, narrow circulation zones or a layout that cannot be substantially changed. In these cases, a performance-based and design-led approach can identify practical improvements: revised arrival information, carefully located directories, consistent destination naming, lighting upgrades or discreet tactile signage that respects heritage significance.
Test the system before it becomes expensive to change
Wayfinding problems are often discovered after occupation, when a facility manager notices recurring questions or visitors begin missing destinations. By then, resolving the issue can involve rework across signs, interiors, operations and digital systems.
Test earlier. Walk the proposed routes using plans, models and site mock-ups. Ask someone unfamiliar with the project to find key destinations without being coached. Include people with lived experience of disability where possible, and seek feedback from operational staff who understand peak periods, visitor behaviour and security constraints.
Useful testing questions are direct: Can a first-time visitor identify the accessible entry? Can they find reception without asking? Do they know which level they are on after exiting a lift? Can they locate an accessible sanitary facility and return to their original route? Can they leave safely when reception is closed?
This process often reveals small but consequential issues, such as inconsistent room names between a directory and door signs, a directory hidden by a queue, or a lift call panel located before the sign that confirms the lift destination.
Build wayfinding into project governance
The most cost-effective time to improve wayfinding accessibility is during briefing and concept design, when planning decisions are still flexible. Nominate responsibility for the strategy early and coordinate architects, access consultants, graphic designers, services consultants, operators and certifiers. The wayfinding package should align with the architectural documentation, not sit apart from it.
For complex developments, an access consultant with architectural expertise can assess the relationship between compliance obligations, user experience and buildability. This is particularly useful where competing requirements arise around heritage, fire safety, security, tenancy fit-outs or operational change.
Good wayfinding does not ask people to adapt to a confusing place. It gives them enough clear, usable information to move through it with confidence, dignity and greater independence.
